Overview

About Cerebral Palsy Alliance

Cerebral Palsy Alliance (CPA) provides life-changing support and services for people living with cerebral palsy and related conditions. With over 2,500 employees and annual revenue of approximately $240 million, CPA operates at significant scale with complex financial workflows across multiple cost centres.

To better manage growing invoice volumes and improve visibility over invoice status, CPA implemented RapidP2P. The result is a more efficient, transparent and controlled accounts payable process that supports both Finance and business managers across the organisation.

The Challenge

Manual handoffs made invoice status difficult to track

CPA’s previous accounts payable process relied heavily on email and manual handoffs. Invoices were sent directly to managers, who coded and approved them before passing them on to the finance team.

This lack of visibility made it difficult for accounts payable to track invoice status, follow up in time or ensure timely payments. CPA needed a process that would simplify invoice handling for business managers, provide real-time oversight to Finance and bring greater consistency across cost centres.

Manual handoffs

Invoices moved between managers and Finance through email-based processes.

Limited visibility

Accounts payable had difficulty seeing where invoices were in the process.

Approval follow-up

Finance needed to follow up manually to keep invoices moving.

Inconsistent processes

CPA needed a more consistent approach across multiple cost centres.
“RapidP2P has made the whole process so much easier for our business managers. They just open their email, click a link, review the invoice and submit. The feedback has been overwhelmingly positive.”
— Rachel Flinders, Senior Accountant
The Solution

A centralised AP process with simpler approvals and vendor onboarding

CPA deployed RapidP2P’s Accounts Payable Automation module to centralise invoice processing and improve visibility across the accounts payable workflow. Invoices now enter the system through a single channel and are visible to the accounts team from the beginning of the process.

RapidP2P tracks each stage of the workflow, flags issues requiring attention and allows business managers to review and approve invoices with just a few clicks.

Vendor onboarding was also modernised with RapidP2P. Instead of relying on back-and-forth emails, vendors submit their information through a guided digital form, including proof of bank details, helping streamline vendor creation and reduce administrative effort.

It used to take a full day to process invoices. Now we can finish the work in half that time. The system gives us better visibility, better control and helps our AP team resolve issues faster.
